Avoid the Most Common Mistake When Booking EcoHealth
Many educators may not realize that their school district requires us to submit a Certificate of Insurance (COI), even if we are only coming to your campus to present to your class. If you have enrolled in community science for middle school students and we will not visit your campus, however, your district may still need a certificate of insurance from us.
When you book an EcoHealth visit or program, we double check with your district office to see if a COI is required from us. Don't worry! We will work with an administrator to complete the process.
Please book our EcoHealth programs at least 8 weeks in advance.
Frequently Asked Questions
Any time an agency or vendor performs services on another organization's property, the visitor (in this case, the San Gabriel Valley Mosquito and Vector Control District - SGMVCD) should provide protection for the risk they bring to the host (your school district/city/organization).
The visitor (agency or vendor) does this in the form of the Certificate of Insurance (COI) issued by the visitor's insurer, proving that they can pay for damages or harm should there be a claim (harm/damage/other issue that results in an insurance claim) on the host’s property).
Check with your school office manager or principal. However, we found virtually all public school districts and cities now require a COI from visiting service vendors whether their services are free or not. Especially if those activities directly involve students.
Work for a private school? So far, only a few private schools require COIs.
If you are not sure, mark “yes” to the question n our booking site, “Does your organization/school require a Certificate of Insurance Liability?”
That’s all you need to do. We will contact your school district/city administration and request a contract, MOU, or a letter requesting coverage.
School Board Approval: Some school districts require external vendors providing services to the district be approved by the school board first--even if those services are free. Because it takes time to draft the agreement and put it on the school board agenda, we ask that all bookings be submitted at least 8 weeks prior to the event or the start date requested for coverage. This is not a strict rule. However, reservations made closer to the prorgram date may be canceled if our agency can't get the insurance in place before the program start date.
Additional insured coverage allows the school district to submit any claims the visiting party causes directly to the visiting party’s insurance. Additional insured usually includes members of the school board or others in your organization that may be affected by a claim.
This requirement is good practice for any organization that allows another entity to come onto their property to perform services.
This is a common confusion. Each organization has different insurance requirements. Our agency does not know what insurance requirements your organization needs. Therefore, the host (your school district /city) must supply the insurance information to us. The host can do this several ways: by issuing a contract, vendor agreement, MOU, or an email outlining coverage and all other pertinent information so our insurer can issue a certificate. Please see the last item on this page, "Here is the information our insuer needs from you."
To be able to issue a certificate of insurance/coverage our insurer needs from a certificate holder (the school district/agency requesting the certificate) the following information:
- Name of Certificate Holder (School District, City, Organization)
- Certificate Holder Address (Mailing address)
- Certificate Holder Contact (this must be a person, not a business or corporation)
- Contact phone
- Contact email
- Location of event (if different from mailing address)
- Beginning date of event / activity
- End date of event / activity
- Limits of Liability being requested (how much insurance should our agency provide? Example: $1M per/$2M aggregate)
- Additional Covered Party? Yes? No? Who? (no specific names just groups and/or titles, "board members, officers, and staff," etc.)
- Waiver of Subrogation requested (Workers' Comp) Yes? No? If 'yes,' How much?
- Property Coverage requested? Yes? No? If 'yes,' How much?
- If property coverage required, is there a Loss Payee required? Yes? No?
- Other types of insurance are sometimes required: auto coverage or SAM (sexual abuse and molestation) coverage and the school district must state the additional amount of insurance required.
